Administrative Professional

OCALI’s Research and Impact Team supports the organization in data collection and analysis, research, report generation, and continuing education options for OCALI events. In addition, this office also accepts external contracts for district and program reviews. The team is looking to add a full-time administrative professional position to support its many duties and projects. OCALI offers a competitive salary, benefits, and retirement package.

Minimum Qualifications:

  • Experience and proficiency in fiscal management
  • Experience and proficiency with technology applications (including but not limited to: Microsoft Suite including Excel, Teams/Google, SharePoint, etc.) and online environments
  • Expertise in organizational skills, attention to detail, and the ability to follow multi-step directions
  • Strong independent work ethic and works well as a team member
  • Ability to consistently meet deadlines across multiple projects simultaneously
  • Ability to advocate for assistance and ask clarifying questions as needed
  • Excellent written and verbal communication skills
  • Associates degree or higher preferred

Responsibilities and Essential Functions:

  • Works with fiscal team and other staff to manage and maintain some of the OCALI contract budgets including OCALI’s continuing education offerings and OCALI’s Lending Library.
  • Collaborates with fiscal team on budget responsibilities including but not limited to maintaining fiscal records, contract preparation, purchase orders, invoices, budget reporting, etc.
  • Assists the Impact Team, which supports the organization in data collection and analysis, research, report generation, and continuing education options for OCALI events.
  • Supports the organization’s continuing education offerings including liaison with fiscal team and others in the organization and CEU providers, as well as executing customer service for CEUs.
  • Maintains and organizes project documentation as needed.
  • Works across multiple projects, tracking and reporting on status through reports and internal meetings to multiple project leaders.
  • Manages data effectively and performs basic computations using tools such as Excel.
  • Communicates professionally and effectively, in writing and orally, with internal teams and external partners and/or customers.
  • Completes other duties as assigned, which may include inventory, supporting district technical assistance initiatives, maintaining listservs, letter writing, ordering supplies, filing, data maintenance, opening mail, tracking postage, etc.
